 ** This is a part-time position with hours ranging around 24-32 hours per week.

Responsibilities of a Contracts Coordinator:

  • Assist with the contractor prequalification process by contacting contractor references and verifying required documents
  • Process paperwork, documents and reports with an emphasis on timeliness, organization and efficiency
  • Take responsibility for complete and accurate documentation, filing, and record keeping
  • Maintain and monitor Contractor Compliance Log
  • Post documents to online bid management system
  • Assist with phone call follow up to close open items
  • Assist with bidder outreach, identifying capabilities of trade contractors, and soliciting soft and hard bids
  • Serve as liaison between Prequalification and trade contractors, and coordinate with team to create recommended bidders list


  • High school diploma
  • 2-4 years of administrative support experience
  • Construction or contracts experience preferred
  • Or equivalent combination of education and experience


  • Strong organizational skills
  • Proficient in Microsoft Office programs
  • Strong verbal and written communication skills
  • Ability to establish and maintain effective working relationships with vendors and outside representatives
